Your ChatGPT conversations
ChatGPT manages conversations in your own account. The mentor does not maintain a separate application conversation-history database or student-profile database. Continue an existing saved conversation for continuity; recall across separate new chats is not guaranteed. OpenAI's account settings, memory features, retention rules, and model-improvement preferences apply independently.

Document-tool requests
When the mentor calls a document tool, the retrieval service receives the required inputs, such as search terms or a document ID. Search terms are sent to Google Drive to locate approved material. The service returns document titles, source links, and text or passages. Inputs can contain personal information if you include it; avoid sensitive details in retrieval requests.
The service uses a dedicated document-reader identity. Students do not need to provide the publisher's Google credentials or connect the publisher's Google account. The mentor does not store questions and answers in a separate conversation database.
Operational and security logs
Google Cloud processes technical information for operation, security, and troubleshooting. Request logs may include IP addresses, browser information, request URLs, status, sizes, and timing. Ordinary operational logs are retained for 15 days. Provider deletion and backup processes may apply separately.
Required Google Cloud audit logs are retained for 400 days under a separate, locked retention policy. These records are separate from your ChatGPT conversation history. Avoid including confidential information in tool requests or support messages.
Support email
If you email support, Gmail processes your email address, message, and attachments. Our policy is to delete support correspondence within 90 days after resolution unless needed for an ongoing dispute or legal obligation. This support-email policy is separate from operational-log retention. Provider backup and retention processes may apply separately.
This website
This website is hosted through ChatGPT Sites using Cloudflare infrastructure. You can browse without creating a website account. We do not use advertising pixels or visitor analytics on these pages. The hosting provider may process connection information and use cookies or other mechanisms for platform security and operation. Email links open your email application or Gmail; information you send is processed as support correspondence.
Providers and public sources
We use OpenAI/ChatGPT, Google Cloud, Google Drive, Gmail, and our website hosting providers to operate the service. Their applicable terms and privacy policies also apply. See Google's Privacy Policy and Cloudflare's Privacy Policy.
The approved document library is available through a retrieval service without a separate sign-in. Approved material can be retrieved by anyone who can access that service. The library is for educational material, not confidential records or private conversations. Retrieval is limited to the approved folder tree and does not grant general access to the publisher's Google Drive.
